Hiring airside is not hiring on the high street

Before a new starter can work in an airport restaurant, the employer completes a sequence the airport sets: identity and right to work, a referencing period, criminal record checks, an airport ID and security clearance application, often a landlord induction. Stations have their own versions. Every location is different, and every one has to be evidenced.

What a spreadsheet does with that

One column per check, one row per applicant, one file per location. Nothing stops a recruiter marking a check done without the document. Several people editing at once overwrite each other. The file slows as it grows. New recruiters learn each site's sheet from whoever built it. And when a manager asks how long clearance takes at a given airport, somebody counts.

A cleared starter who cannot start because one document was never attached. A pass that lapsed because nobody tracked expiry. A site that cannot open on time because clearance lead times were invisible until they were late.

The Restaurant Group runs restaurants across UK airports and railway stations, each with its own security and clearance regime, and tracked recruitment in location-specific spreadsheets with dozens of columns. The model-driven app replaced them with one system: location checklists, enforced evidence, simultaneous recruiters, Entra ID sign-in and Power BI reporting. A working first version was in recruiters' hands within the first week; the full system took six weeks.

Questions operators ask

Why not an off-the-shelf applicant tracking system?
Most are built for a standard hiring funnel. The hard part here is the per-location clearance sequence, which changes by landlord and over time. A model-driven app lets that be configured by you rather than requested from a vendor.
How are different locations handled?
Each location has its own checklist of checks, documents, timescales and who signs off. Applicants inherit the checklist for the site they are hired for; an applicant moving sites picks up the new one.
Does it integrate with our HR or payroll system?
Yes, where the system has an interface or an import format. Cleared starters can be passed across with their verified documents so nothing is keyed twice.
What about GDPR and retention?
Retention periods for unsuccessful applicants and for clearance documents are set in the system and applied automatically. Access is limited by role and location.
How long does it take?
