The problem

Hiring into an airport or station restaurant requires a sequence of checks set by the location: identity and right to work, a referencing period, criminal record checks, airport ID and security clearance, landlord inductions. The Restaurant Group, which operates restaurants at UK airports and railway stations, tracked all of this in Excel, one column per check and one file per site, with recruiters overwriting each other and no view of where clearance was stalling.

What we built

  1. 1Locations, their required checks, applicants and vacancies held as linked records rather than columns in a sheet
  2. 2Location-specific workflows that apply the right checks and documents to each applicant automatically
  3. 3Evidence required before a check can be marked complete, with expiry tracking
  4. 4Multi-user working with full change history and Entra ID sign-in
  5. 5Power BI dashboards on pipeline, stage durations and clearance lead times by site

What changed

  • —One system replaced location-specific spreadsheets, with the clearance steps enforced rather than remembered
  • —Recruiters work simultaneously without data loss, and managers see clearance lead times by site
