Referral Automation, for providers

Referrals arrive assessed

Every referral bundle is read, classified and turned into a drafted internal assessment with the key points on top, ready for your team to review and approve. The mailbox stops being the queue.

Someone still reads every page

A referral is a bundle of documents and a deadline. Someone opens each file, finds the needs and the dates, decides whether the service can respond, and writes it up in the internal format. The volume is rising and the clock does not move.

638,745

education, health and care plans in England in January 2025, up 10.8% in a year. Every one generates consultations that a setting must answer, with evidence, inside a statutory window.

From mailbox to approved assessment

  1. 01

Referrals are picked up where they arrive

The mailbox, a SharePoint library or a commissioner portal export. Nothing changes for the people sending them.

  2. 02

Every document is read, including scans

PDFs, Word files and photographed pages are all read, scans included, so the whole bundle is understood and not just the covering email.

  3. 03

The facts are extracted and classified

An AI model identifies the document types and pulls out the person, the referrer, the needs and risks described, and every date that matters.

  4. 04

Your internal assessment is drafted for you

Your own assessment and intake documents are filled in from the extraction, with the key referral points surfaced at the top for the reviewer.

  5. 05

    A person reviews and approves

The pack enters your approval workflow. Someone reads it, corrects it where needed and approves before anything is sent or recorded as a decision.

  6. See it on your referrals

What the reviewer sees

The person who signs off opens one pack instead of a mailbox thread and a folder of attachments.

  • —Who is being referred, by whom, and when the response is due
  • —The needs and risks described, each traced to the page it came from
  • —What the bundle is missing against your own checklist
  • —The drafted assessment, ready to edit rather than write
  • —One place to approve, decline with a reason, or send back for more information

Built for a regulated provider

Runs inside your Microsoft tenant

Built with Microsoft Power Automate and Azure AI inside your own Microsoft 365 and Azure, in the region you choose. Referral data does not leave your organisation to be processed.

Nothing is decided by the model

The AI reads, sorts and drafts. Decisions, responses and anything recorded on a person’s file are made by your staff after review.

Works with the systems you already run

Care records, school management systems and case management tools stay as they are. The pipeline feeds them, and your existing approval and audit trail applies.

Built for the deadline

Consultation and referral responses have statutory windows. The pack lands with the due date on it, so the clock is visible from the first day.

Built first for a special-education and care provider

Referral and consultation bundles arrived by email as PDFs and Word documents. The pipeline now reads them, extracts the facts, drafts the provider’s own internal assessment with the key points surfaced, and routes the pack for review and approval.

Questions providers ask

What kinds of referral does it handle?
Any referral that arrives as documents: local authority and NHS referrals to care and support providers, EHCP consultations to special schools, safeguarding or housing referrals to support charities. The extraction schema is set up for your referral types.
Does it make the decision?
No. It drafts the assessment and surfaces the key points. A person reviews, edits and approves. The approval step is part of the build, not an option.
What about documents in poor condition?
Scans and photographs are read as well as typed documents. Where a page cannot be read reliably, the pack says so rather than guessing, and the reviewer sees the original alongside.
Where does the data go?
It stays in your Microsoft tenant and your Azure subscription, in the region you choose. We configure the AI deployment so prompts and documents are processed only there.
Can it tell us what is missing from a bundle?
Yes. Your checklist of what a complete referral contains is part of the setup, and each pack shows what has arrived and what has not.
How long does it take to set up?
It depends on how many referral types you have and what your assessment documents look like. We scope it in the Process & Reporting Review and agree a fixed price before work starts.
