Intake Agent, for law firms

Every new matter arrives complete

Thanks, I have read the quotation and the three invoices. Who at the supplier confirmed the delivery date, and was that by email?

Their operations manager, by email on 14 March. I can upload it.

Please do. After that I need one more thing: the date you first told them the goods were defective, and how.

Opening a matter still means a fee earner extracting the story by hand

Who the parties are, what was agreed and when, what went wrong, what it cost. Clients send half of it. Someone chases the rest, re-types it into the case management system, and builds the chronology by hand.

16% + 39%

In the SRA’s latest anti-money-laundering review, 16% of files had no or incomplete client and matter risk assessment and a further 39% did not assess the risk effectively. Source-of-funds documents were, in the SRA’s words, “often collected but not analysed”.

8%

A 2025 mystery-shopping study of 134 firms found web enquiries handled adequately 45% of the time and followed up 8% of the time.

What Intake Agent does

  1. 01

The client signs in and can come back

You send a link. The client creates an account, describes the matter in their own words, and can return to the conversation whenever they have the next document to hand.

  2. 02

It asks for the documents your matter type needs

For a contract dispute that is the contract or the emails that formed it, invoices, correspondence and any expert evidence. You define the list once.

  3. 03

It reads what they upload and asks what a good solicitor would ask next

The agent works from a definition of what a complete file looks like for that matter type and keeps asking, in plain language, until every required fact has an answer or a recorded reason it is unavailable. The questions change with the answers.

  4. 04

It knows when it is done

The client’s part ends when the file is complete. No fixed form and no second round of emails.

  5. 05

Your solicitor gets a review-ready file

A single PDF bundle, a chronology with every entry referenced to the document and page it came from, a case summary, and the structured data written into your case management system or a database you control.

Built for a regulated firm

Runs inside your Microsoft tenant

The agent uses Azure OpenAI models deployed in the UK, in your subscription. Microsoft states that prompts and completions are not used to train its models. Abuse-monitoring storage can be switched off on request for your resource, and we configure the deployment so data is processed only in your chosen geography.

Microsoft: data, privacy and security for Azure OpenAI

Nothing leaves without a human

The agent never gives legal advice, tells the client it is an automated assistant, and hands over to a solicitor before anything becomes a brief. That is the supervision the SRA’s August 2026 warning notice on AI expects.

Works with what you already run

Identity verification and AML screening stay in the tool you already use. Intake Agent collects the facts those tools need and writes the outcome into your practice management system.

Evidence on file

Every answer and every question is recorded against the matter, which gives your compliance officer a consistent starting point for the client and matter risk assessment.

How it is sold

The platform is the same for every firm: sign-in, document upload and reading, the adaptive interview engine, the bundle and chronology generator, and the integration layer. The tailoring is yours: your matter types, your definition of a complete file, your document lists, your questioning style, your case management system. A fixed-price project agreed before work starts, with a measured target, and a flat monthly fee to run it.

Your Azure consumption is yours directly and estimated in the proposal. At one to twenty submissions a month, the model and hosting costs are small.

Tailoring project

Fixed price, agreed before work starts

  • —Design workshop with your fee earners
  • —Matter-type schema and document lists
  • —Prompt and guardrails
  • —Integration with your case management system
  • —Testing on real matters, go-live, 30-day support

Running fee

Flat monthly fee, 12-month term

  • —Monitoring and fixes inside your tenant
  • —Tuning of the questions as real submissions arrive
  • —Quarterly review of what the agent asks and why
  • —Next-business-day response

Additional matter types

Fixed price per matter type

  • —A new schema and document list
  • —Tested on your matters
  • —Added to the running fee scope

Who it is for

Firms of roughly five to 150 fee earners in document-heavy work: litigation and disputes, personal injury, immigration, employment, private client. It suits firms on LEAP, Proclaim, Osprey, P4W or Actionstep that have no AI intake from their vendor, and firms on Clio that want fact-finding beyond lead capture.

It is a poor fit for firms wanting a chatbot to answer website enquiries. Several products do that well and we will say so.

Beyond law firms

The same engine runs any intake where a client must supply facts and documents before work can start: special-education and care providers reading referral bundles against a statutory deadline, accountancy firms onboarding a new client’s records, insurers taking a first notification of loss. The matter-type schema changes; the platform does not.

Questions firms ask

Does the agent give legal advice?
No. It gathers facts and documents and tells the client it is an automated assistant. Advice comes from your solicitor after review.
Where is our client’s data?
In your Azure subscription, in the UK region you choose. We configure the deployment so prompts and responses are processed only in that geography, and request the abuse-monitoring exemption from Microsoft on your resource. Your own Microsoft agreement covers it.
What if the client stops halfway?
The conversation is saved. They can return by signing in. You decide the retention period for abandoned intakes and we build it in.
Can it run a conflict check?
The parties’ identities are collected first, so your conflict search can run before the agent reads the merits. We integrate with your existing search where it has an interface.
What does our solicitor actually receive?
A PDF bundle, a chronology with each entry referenced to its source document and page, a case summary, and the structured fields in your case management system.
Who owns what we build for you?
You do, on full payment. We keep the right to reuse the platform.

See it work on one of your own matter types.

We will show the client’s journey, what the solicitor receives at the end, and give you a fixed price for tailoring it to your firm.
