RingCentral reporting

RingCentral reporting in Power BI

Calls, answer rate, service level by queue and hour, and agent reporting from RingCentral, refreshed automatically and kept for as long as you need.

RingCentral runs your calls. Reporting is where it gets harder.

RingCentral’s analytics answer the questions about this week well. As call volumes grow, the questions are about trends, staffing and the customers behind the calls.

About six months of history

Performance reports go back about six months and the call log about a year, so comparing this winter with last winter needs your own copy of the data.

Totals that do not match

RingCentral’s analytics and its call log come from different sources, so the same day can show different totals depending on where you look.

Service level your way

Measures such as the share of calls answered within 20 seconds, by queue and hour, are regular requests on RingCentral’s ideas forum.

A report per email

Scheduled reports arrive one subscription at a time, so the weekly pack is still put together by hand.

Calls on their own

Call data is not joined to the CRM or support desk, so you cannot see which customers wait longest or what missed calls cost.

The API takes care

The call log API sits in RingCentral’s heavy usage group and new calls take a few seconds to appear, so a reliable copy needs a scheduled, rate-aware sync.

What the reports cover

Five report pages, set up around your queues, sites and teams. Try the first three on sample data below, then see them on your own.

01

Calls

Inbound and outbound calls by month, answer rate, and answered and missed calls by queue and site, compared with last year.

02

Queues and service level

Calls answered within 20 seconds, waits and missed calls by hour, weekday and queue, so you staff the busy hours.

03

Agents

Calls handled, calls a day, handle time and missed rings for every agent, by queue and site.

04

Missed calls to call back

Every missed caller who did not get through later, with the number, queue and time, ready for a call-back list.

05

Calls and customers

Calls joined to your CRM or support desk, so wait times and missed calls show by customer and account value.

From RingCentral to the report

  1. 01

    Connect

A RingCentral app with read-only call log access, approved by your RingCentral admin. Nothing in your phone system can be changed.

  2. 02

    Store

Every call log record is copied to a database in your own Microsoft tenant on a schedule, and kept for as long as you need, not just six or twelve months.

  3. 03

    Report

Power BI reports in Teams or the browser, refreshed automatically, with row-level security so team leaders see their own queues.

History that keeps growing

We load whatever history RingCentral still holds, then keep every new call, so year-on-year comparisons work from the second year onwards.

One set of numbers

Every figure is built from the detailed call log, so the totals on each page agree with each other, and we explain any gap with RingCentral’s own analytics.

Call reporting we have delivered

Call reporting is only useful when team leaders trust the numbers. Every report we build is checked against the phone system before anyone relies on it.

Manufacturing

One view of five phone systems for Ideal Standard

Call data from five separate 3CX phone systems is pulled into one Azure data warehouse and reported in Power BI, replacing around ten hours a month of manual collection.

Questions about RingCentral reporting

Does RingCentral connect to Power BI?
There is no ready-made RingCentral connector in Power BI. RingCentral provides call log and analytics APIs, and we use them to load your calls into Azure on a schedule and build the reports on top.
How far back can we report?
RingCentral keeps performance reports for about six months and the call log for about a year. We load what is still available when we connect, then keep every call from then on.
What access do you need?
Your RingCentral admin approves a small app with read-only permission to the call log. It cannot make calls, change settings or listen to recordings, and you can remove it at any time.
Can we define service level our way?
Yes. Answered within 20 seconds, 30 seconds or any target you use, counted per queue, per hour and per site, with abandoned and voicemail calls handled the way you count them.
Can we join calls to our CRM or help desk?
Yes, and that is where the most useful reports come from: calls matched to customers and tickets show who waits longest, which accounts call most and what missed calls are worth.
Do you need call recordings?
No. The reports use call log details such as times, queues, results and durations. Recordings stay in RingCentral.
Which Power BI licence do we need?
People who view shared reports usually need a Power BI Pro licence, which is included in some Microsoft 365 plans. If many team leaders need access, a capacity licence can work out cheaper. We will tell you the most economical option.
How is it priced?
As a fixed-price project agreed before work starts. A short reporting review comes first, so you know what is worth building and what it will cost.
