Property reporting

Every property, one set of numbers

Rent, arrears, voids, maintenance and owner returns from Buildium or whichever property system you run, reported in Power BI and kept up to date without anyone exporting a spreadsheet.

Arrears by property

  • Harbour Court£6,900 · 3 tenancies
  • Mill Lane£4,600 · 2 tenancies
  • Station Road£3,420 · 2 tenancies
  • The Maltings£1,900 · 1 tenancy
  • Elm Terrace£1,600 · 1 tenancy

Voids, last 12 months

Units empty at month end. Average days void: 21.

The system has the data. The report is still a spreadsheet.

Buildium and its peers are good at running the day. They are weaker at answering the questions owners and directors ask at month end, which is why someone exports to Excel, joins it to the accounts by hand and sends a PDF that is out of date before it is read.

Rent and arrears

Rent due against rent collected by property, owner and tenancy; arrears ageing; who is chasing what and since when.

Occupancy and voids

Units let, units empty, days void by property and by month, and the lettings pipeline against what is about to come up for renewal.

Maintenance

Open jobs, time to resolve, cost per property and per contractor, and the repeat issues that mean something bigger needs fixing.

Owner and portfolio returns

Income, costs and net return per property and per owner, consistent from one month to the next, ready for owner statements and board packs.

Buildium first, but not only Buildium

Property data, accounts and the spreadsheets in between are brought into one model in your Azure, refreshed on a schedule, and reported in Power BI.

Buildium

Scheduled exports or the Buildium API into a model that keeps history, so you can see trends Buildium itself does not show.

Other property systems

Reapit, Alto, Arthur, MRI, Yardi, Qube and the like. If it exports or has an API, it can feed the same model.

Accounts

Xero, Sage or Business Central alongside the property data, so returns per property use real costs rather than estimates.

Spreadsheets

The rent trackers and maintenance logs that fill the gaps today become inputs rather than the system of record.

Built for property managers before

Projects delivered by the DataCactus team for property businesses include digital procurement approvals with a reporting dashboard for a London property management company.

Procurement approval workflows for a property management company

Three paper-based procurement approval processes became digital workflows on Power Apps ahead of an audit, with automated notifications and a reporting dashboard.

Questions property managers ask

We use Buildium. What does the integration look like?
Buildium data is brought into an Azure SQL database on a schedule, through the Buildium API or scheduled exports depending on your plan. Power BI reports are built on top of it. Because the data is stored each time, you get history and trends that the in-app reports cannot show.
We are not on Buildium.
The same approach works with any property system that exports data or has an API, and with the accounts package next to it. Tell us what you run.
Can owners or landlords see their own properties only?
Yes. Reports can be shared so each owner, branch or manager sees only the properties they are responsible for, from one report rather than many copies.
Where does the data live?
In your own Microsoft tenant and Azure subscription. We build it there and hand it over; nothing sits with us.
How is it priced?
As a fixed-price project agreed before work starts, under Reporting & Data Foundation. The Process & Reporting Review is usually the first step, and it tells you what is worth building.

We will show what it would look like built on live data from your property system, and what it would take to get there.
